Until now, if a project or event was cancelled, it was not possible to withdraw staff members’ assignments and archive a project/event with only a few clicks.
Now, if a project or event is aborted, and employees have already been invited or assigned to it, or their assignment has been confirmed, the feature “Abort Project/Event” can be used.
It annuls the assignments of all assigned/confirmed staff members for this event or project, and rescinds the invitation for invited staff. The project is automatically archived, and the affected employees receive a notification that the assignment has been cancelled.
An active project/event can now only be deleted when no interactions (such as invitations, assignments) with staff members have taken place yet. Archived projects can be deleted when no one was assigned or confirmed.
Only future projects/events can be aborted.
In project management, choose one or several cancelled projects or events to abort them. The button “Abort Events” appears in red in the bottom righthand corner. Additionally, you can also see the “Abort” Icon on the right.
Once you select Abort, you receive a warning asking whether you are sure you want to proceed:
After confirming with “OK”, the events are aborted:
- The invitation list is deleted
- The assignments of assigned and confirmed employees are annulled
- Employees receive a notification titled “Planner has changed assignment status”
- The aborted events/projects are archived
PLEASE NOTE: Before aborting an event/project, we strongly recommend sending a personal message to the affected staff members to explain the reason for the cancellation.
When a project or event is aborted, and no employees have been invited, assigned or confirmed yet, you can choose between “Delete project/event” and “Archive project/event”.
Here is an overview of the different options available for cancelling, deleting, or archiving projects/events:
If employees have been invited, assigned or confirmed:
| Archive | Abort | Delete |
Date is in the future | yes | yes | no |
Date is in the past | yes | no | no |
If no employees have been invited, assigned or confirmed yet:
| Archive | Abort | Delete |
Date is in the future | yes | no | yes |
Date is in the past | yes | no | yes |
What happens when a project is archived:
- Invitation list and applications are deleted
- The assignments of assigned and confirmed employees are saved
- The project is archived and no longer shown in Staff Planning
